This full-time role is from 8 am to 5 pm Monday through Friday. The pay range is $24 - $25 hourly, depending on experience.

To be a good fit for the Clinical Program Assistant opportunity, you will have:
  • Minimum of 2 years of prior experience in a medical, healthcare or administrative role.
  • Knowledge of and experience with KIPU is advantageous.
  • Current AED, CPR/First Aid Certification or the ability to obtain prior to start.
  • Positive attitude, professional, organizational skills; ability to communicate effectively.
  • Proficient in Outlook, Excel, Word and PowerPoint.
  • Ability to keep the clinic and office environment clean and orderly at all times.
Physical Requirements:
  • Activities involve sometimes sitting at office desks and in front of a computer monitor.
  • Ability to lift and carry light objects and parcels incidentally.
  • Regular verbal communication, listening, and presentation skills required.
  • Significant walking and ability to climb stairs.

Under the supervision of the Program Director, you will play a vital role in ensuring seamless clinic operations while providing compassionate support to clients and clinicians. Your role will be essential in creating a well-organized and welcoming environment for individuals receiving care.

Other responsibilities include:
  • Be the First Point of Contact – Greet and assist clients, coordinate check-ins, and manage visitor flow.
  • Support Telehealth & Group Therapy – Set up clients for telehealth sessions and prepare group rooms for therapy sessions.
  • Manage Daily Client Services – Organize and set up lunch services, ensuring dietary needs are met and spaces remain clean.
  • Keep Things Running Smoothly – Maintain weekly inventory, restock essentials, and coordinate with the property manager for orders.
  • Maintain a Safe & Compliant Space – Conduct daily walk-throughs, ensure CARF standards are met, and support HIPAA and OSHA compliance.
  • Provide Administrative Support – Assist with scheduling, upload documentation into KIPU (EMR), and handle clerical tasks.
  • Facilitate Medication & Testing Processes – Communicate with pharmacies for medication refills, collect urine specimens for testing, and take client vitals.
  • Be a Compassionate Resource – Redirect clients to group sessions, answer questions, and support patient needs with professionalism and care.
